This policy, together with the Specific Privacy Statement – Marie Curie Alumni Association (for MCAA members) and our cookie statement sets out the basis on which any personal data we collect from you will be processed when you register online to attend an event organized by the MCAA.

As the Marie Curie Alumni Association (MCAA) collects and further processes personal data, it is subject to the EU General Data Protection Regulation (GDPR) concerning the protection of individuals with regard to the processing of personal data, and on the free movement of such data. MCAA data processing operations are under the responsibility of the MCAA Board (data controller), but most of the actual storage and processing is carried out by the contractor (data processor) appointed by the European Commission to assist in the running and management of the MCAA. The actions of the contractor are under the joint responsibility of the MCAA Board and the European Commission, represented by the Data Controller, Head of Unit People Programme; Marie Curie Actions at the Education and Culture Directorate-General of the European Commission.

This privacy statement explains the reason for the processing, the way we collect, handle and ensure protection of all personal data provided, how that information is used, and what rights you may exercise in relation to your data (the right to access, rectify, block etc.).

How and why we process your personal data:

Registration Information: Information you provide when you register the event. The information you give us may include your name, address, e-mail address and phone number and other details as are necessary for us to organize your participation in the event.

We will process this data so we can deal with your registration and address your query. The reason we process this data is to ensure the proper administration of your registration and organization of the event. We will also use it to contact you regarding your registration. We may also contact you to undertake post-event evaluation.

Communication Data: If you communicate with us (e.g. when you request for additional information about the event) we may process the information contained in your communication. This information may include your name and contact information, the content of your communication and any metadata our website generates if you communicate with us using the contact form available on our website.

We will process that information so we can correspond with you and keep records of such correspondence. The reason we are processing this data is to ensure the proper administration of your registration and organization of the event.

Notification Data: Where you have subscribed to receive our email notifications and/or newsletters, we will process your data so that we can send such email notifications and/or newsletters to you. In each of these communications, you will have the possibility to unsubscribe.

The legal basis for us processing this data is that you have consented to such processing.

 

How long do we keep your data?

Personal information provided for the purposes of registration to attend an event will be deleted within 2 years, for use in evaluation and report to the European Commission.

 

Who has access to your personal data and to whom is it disclosed?

Access to your personal data is granted to a very small number of European Commission personnel and to the relevant staff of the appointed EC contractor, for the purpose of managing the MCAA web-site and services.

Your data will not be communicated to any third party unless you provide specific written request / consent for this.

 

How do we protect and safeguard your information?

The collected personal data is saved on servers of the EC-appointed external IT company working under contract for the European Commission (EC). The company shall act only on instructions from the MCAA Board and/or the European Commission and shall comply with the obligations set out in the EU General Data Protection Regulation (GDPR) on the confidentiality and the security of data processing.
