PRIVACY STATEMENT MCAA SURVEYS

Introduction:

This privacy policy explains how our organisation processes the personal data we collect from you when you complete MCAA surveys.

Data controller and scope of processing
The collection and processing of personal data in the context of MCAA surveys (hereinafter referred to as “MCAA surveys”) is handled by the Marie Curie Alumni Association (MCAA) in compliance with the EU General Data Protection regulation 2016/679 (GDPR).

The MCAA, located at Rue Joseph II 120, 1000 Brussels, Belgium, CBE 0548.914.288, acts as the sole Data Controller and is responsible for all data processing operations related to this survey.

Qualtrics, LLC, acts as a “data processor” within the meaning of EU Data Protection Regulations.

All personal data collected will be processed in accordance with the EU 2016/679 General Data Protection Regulation (GDPR).

Legal Basis for processing your personal data
The MCAA processes your data under EU Regulation 2016/679 (GDPR) of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC.

As sole Data Controller of this survey, the MCAA has created its own Data Protection Record (MCAA DPR-2020), which can be accessed here:

Why do we process your data?

MCAA surveys collect information from MCAA members and the broader MSCA community on topics related to research and innovation. The data are used to better understand researchers' experiences, opinions and needs, including with regard to training, career development and the research environment, and to inform the MCAA's activities and evidence-based policy work. The collected data will also be used over time to engage and communicate with a broader range of stakeholders, including policymakers.

All responses will be treated in compliance with GDPR, aggregate data will be used, and any qualitative comments will be reported anonymously. Your data will not be used for unrelated purposes without your explicit consent.

What data do we collect and process?

Data collected may include contact information (name and e-mail address only for the focus group), personal characteristics (gender, age, nationalities), education, profession and employment details, and data concerning career development.

Who has access to your personal data and to whom is it disclosed?

Access to your personal data is strictly limited to a designated group of authorized personnel within the Marie Curie Alumni Association (MCAA). Additionally, the appointed contractor — Qualtrics, LLC, serving as the “data processor” — will process your data solely for administering and managing the survey. In certain cases, additional sub-processors may assist Qualtrics in fulfilling these tasks, always within the scope defined by MCAA and in compliance with applicable data protection laws. No unauthorized parties will have access to your personal data.
The European Commission, represented by the Head of Unit of the Marie Skłodowska-Curie Actions (MSCA) at the Education and Culture Directorate-General, will only receive anonymised data, that does not allow individuals to be directly identified, for analytical and communication purposes, as well as the list of names of respondents, who have agreed to participate in the focus group. It will not have access to any other personal data of the survey respondents. Therefore, it does not fall within the scope of Regulation 2018/1725, which governs the processing of personal data by EU institutions and bodies.

How long do we keep your data and for how long?

Your data will be stored within the European Union. If a transfer becomes necessary, it will be carried out in accordance with GDPR and subject to appropriate safeguards.

The data collected in MCAA surveys will be retained until December 31, 2028. However, the aggregated data will be kept and further used over time to engage and communicate with a broader range of stakeholders, including policymakers.
