Economical budget SPAIN...

Economical budget SPAIN PORTUGAL CHAPTER kick off I have to ask you all Spain-Portugal Chapter members for your opinion about an issue relative to the organisation of the Spain Portugal Chapter Kick off meeting. Due to the number of the confirmed attendees and the limited budget we have, we will not be able to cover the costs for the trip to all attendees. Mi idea in the beginning was to pay a fix amount depending on the place where you come from (ex Portugal 75 euros, Madrid 50...and so on). I can see already that this will not cover even the cost of the trip so I am wondering if we should keep the money for some other activities and i was wondering if most of you can finance the trip from MC grants or other sources. Is just an open question, please answer via this post so we can all follow the conversation. Those that already confirmed assistance to the meeting maybe can say if they would come even is there is no possibility for travel reimbursement (pleae take in account than in any case the trip will be completely covered). In my modest opinion, any economic help with the travel expensives is welcome!

I am not sure if it is late to apply for any MC grants.....

Good morning,

In my particular case, as I am coming from nearby Barcelona and not staying there, you can skip me from the payment, it is not a big deal to afford. It is not a big change though! So I suggest the following:

1) Each one of us attending: revise if we can have other funding for this (projects?), and communicate this possibility to Reyes. Or if it can be afforded by ourselves.

2) Additionally to the distance (i.e. it is not the same coming from Madrid than from Lisbon), I'd take into account also if the traveller is a PhD or a postdoc. Usually PhD students are "poorer" than postdocs (although the difference is not that big :)), in my oppinion they should be prioritized or have a higher percentage of co-funding.

3) Do not distribute the money among attendees, but use it for paying the dinner, the lunch, etc. of the meeting. But I think it would not be fair for the ones coming from farther, although this should not be the last meeting so next time the ones coming from the east coast are going to be the farthest.

I don't know, I'm just saying.

Hi,

I think that, as mentioned by Reyes, we might keep the money for some other activities. And I agree with Gemma that instead of distributing the money (actually, how much is it?) in tiny pieces among attendees, we could use it for for something significant like paying the dinner, the lunch, etc.

Hi all,

 

I agree with the previous comments regarding the funding:

- some of our MC projects have funds for this kind of events so we probably can use those for the trip,  

- the existing budget from the Chapter can be used for general organizing use i.e. dinner / lunch

Hi,

We have 1500 euros for the whole year (september  2014 to September 2015). I was counting on spending some money ont the catering for the 26 and 27th (so 1 lunch and three coffe breaks) but I was not going to include the dinner on the 26th. I did not think to organized a dinner but just to give the free evening and we can gather together in Barcelona those that are interested. I am really having no time to organize an official dinner, the management of the Chapter is taking a lot of time so if anyone in Barcelona is willing to organize that for me is fine. 

I though that we keep the money to some science related activities that we migth want to do or that might come up during our discussion in the kick off.

Hi all,

I agree with Reyes and would not include the dinner in the expenses, but instead spend it in something else. However, it would be nice to have something organized to go for dinner all together. I know a couple of places that we have used for conference dinners in Barcelona that provide nice menus for a reasonable price (around 20 euros per person for a big group),have the space to accommodate the people and are located in the old town. Me too, no need of travel reimbursement. Living in Barcelona. Paying dinner ourselves and decide together about use of money and future projects is totally fine for me.

Dear all,

I suggest not committing the budget to any activity at this point, and rather discussing during the kick-off meeting what to do with that meeting. A couple activities could be:

- Organizing a workshop on how to write ERC Starting and Consolidator Grants (paying a speaker with experience).

- Funding some merchandising (poster, fliers, etc.) of the Spain-Portugal chapter at the Marie Curie General Assembly in Oporto in February, or supporting a delegation from our chapter to go there if no chapters’ members from Oporto or the surrounding areas can make it.

Etc.
