Hi Carlos, The costs of my...

Hi Carlos, The costs of my secondment were paid from my university, Please always speak with your secreatary and supervisor and make sure to confirm everything before you book. Because in Germany there is a list of costs that you are allowed for a daily abroad travel. For example I went to the Netherlands for my secondment and asked to our secretary the limit of accomodation cost which fits to the rate for Netherlands. Imagine that is 40 euro per night...then I looked for places which were at that range of price. I did the payment with my own card and afterwards my university made me the reimbursement. After I returned back from the Netherlands they also refunded me for my daily allowance. I stayed 30 days in the Netherlands. Imagine that the daily allowance for the Netherlands is 20 euro per day. Then my university paid me 600 euro as daily allowance cost. The most precise information would be given from your own university but make it sure that you don´t have to pay any travel or accomodation cost. Hope this helps, Best regards Zeynep

Hello Zeynep,

Yes, it helps a lot.

Do you remember how did your university defined the amount of accomodation cost and daily allowance?

Why did you spend only 30 days at the Netherlands?

Because I did only one month secondment. This list may differ from university to university but I guess your university should have one as well.

For the daily allowance it was a bit strange because they paid me full allowance for the first 15 days and then the amount was reduced to 50%.  All these things have to be done from the administration office of your university. You just need to prepare the "Dienstreiseantrag" which is the autorization for your stay out of your working place.

Well, it also took me some time to figure out but at the end it worked. Good luck with the German bureaucracy :)

Hi Zenyep,

That is exactely how an employer should do it, though the costs can be very high (with long secondments in expensive countries). I only managed to get my travel and housing costs reimbursed due to an employer unwilling to pay anything at all and a project coordinator who didn't dare to intervene. In my quarriling with my employer and chef I had to go as far as to mention a court case before they offered to pay the housing and travelling (I know very drastic, but my secondment was in the Netherlands in Delft and Rotterdam (one of the most expensive areas) for four months so I had to get the costs back somehow). So beware it can be a hard struggle but you do have the right to have the travels and housing paid as well as to get the daily allowance, just as if you were going to a conference or a training activity somewhere else.

Best regards,

There are lists for daily allowance and travel allowance if you don't want the hotel and restaurant reimbursed in Germany. Some such are of the DAAD but there are also some to get it deducted from the tax.

Hi Johannes,

I was following the comments on the seccondment issues. Well i have a long term secondment at TU Delft and i am an industrial PhD student with H2020 fellowship at a German company. I will be there in Delft for 18 months and i will take the housing from TU Delft. I was wondering should this has to be reimbursed from the company as its because of my secondment expenses.

Best Regards,

Gaurav

Hi Guarav,

In principal it should be reimbursed by the company, for a 18 month secondment however I would talk with the company and see how you can come to a reasonable agreement for both (perhaps they only pay the difference between your room in Germany and the one from the TU Delft, because you will most likely cancel the German room, or sublet it right?), you also don't want to spent your entire training budget on housing, it would be better to ask for training oppurtinities (in writing) in exchange for an agreement on the secondment costs.

Also for such a long secondment you should have a look into the Dutch laws, since you are there for more then a year, insurance and taxation might become an issue.

Best regards,

Johan
