Call for submission of venues to host the 2025 MCAA Annual Conference and General Assembly
The conference should take place from Thursday to Saturday, according to the following plan:
- Thursday (the entire day): satellite events and Board meeting
- Friday (the entire day) and Saturday (morning): AC
- Saturday (afternoon): GA
This call for hosting the 2025 edition is addressed to MCAA members and has to be supported by the local Chapter, therefore it can only be submitted by a Chapter chair. While the general organisation will be led by the MCAA Board and the MCAA Secretariat, it is crucial that the applicant has an active (local) team that can take care of the local organisation.
The next AC & GA should take place between the end of February and the end of March 2025, preferably on:
- Most Prefered: From Thursday 20th March to Saturday 22nd March 2025
- Second Option: From Thursday 27tth of March to Saturday 29th March 2025
- Third Option: From Thursday 13th of March to Saturday 15th of March 2025
The deadline for the submission of applications through this form is 30th April 2024.
Selection results will be notified at the beginning/mid of May 2024. Shortlisted applications may be asked to reply to the evaluation panel questions by April 25, 2024.
Detailed information about the content of the full proposal will be provided in due time to the selected applications.
Tentatively, the full proposal will have to include detailed information about:
- Travel and accommodation
- Venue
- Sustainability certifications and measures related to the venue, travel, and in general, all the event activities
- Accessibility measures related to the venue, travel, and in general, all the event activities
- Local staff
- Financial and in-kind support
- Social activities
- Tentative costs
- Hybrid facilities
Extra points in the evaluation will be given to applications with:
- Free of charge venue
- Support from the local university and/or partners with in-kind and financial contributions
- Already identified sponsors.
The conference organisation should comply with the MSCA Green Charter or any local regulations for Green Meetings. More specifically, the venue and city have and continue to consciously and actively pursue environmental sustainability, including the use of green materials, recycling facilities, innovative measures to reduce wastage, and appropriate use of resources (these examples are not exhaustive).
