Administrative Assistant (Freelancer,Remote position)
We are looking for an Administrative Assistant (Remote position) to join our team and provide essential administrative and secretarial support to the association. This position will play a key role in assisting with the management of Chapters & Working Groups, and the overall operational efficiency of the association.
Job Description:
The Administrative Assistant will be responsible for supporting the Community Manager, handling the association's microgrant processes, and assisting with the organisation of events, particularly the association's Annual Conference and General Assembly, as well as events hosted by Chapters and Working Groups. Specific duties will include, but are not limited to:
- Support to Community Manager: Assist in managing and coordinating the Chapters and Working Groups of the association and supporting the financial support to the Chapters & WG..
- Microgrant Process Support: Help administer the microgrant application process, including communication with applicants, support in reviewing submissions, and ensuring all paperwork is processed.
- Event Support: Assist with the planning and logistics of the association’s Annual Conference and General Assembly, as well as other events organised by the Chapters and Working Groups.
- General Administrative Duties: Provide general office support, including filing, generating reports and presentations, setting up meetings, taking meeting notes, managing multiple email accounts, and assisting with various ad hoc administrative tasks.
Collaborate with cross-functional teams to ensure smooth operations and efficient workflows. - Communicate with multiple internal and external stakeholders.
What We Expect:
- A graduate qualification: Proven experience as an Administrative Assistant or in a similar role.
- Experience in event management and supporting teams in a dynamic environment.
- Excellent organisational and time management skills.
- Proficiency in G Suite, Monday.com, and Microsoft Office Suite.
- Strong written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Attention to detail, accuracy, and efficiency.
- Ability to multitask and prioritise tasks effectively.
- Fluent in English (Additional languages are a plus).
- Readiness to join an international, virtual team.
- Availability during Western European working hours.
Preferred Qualifications:
- Experience in community engagement or working with large networks and groups.
- Previous experience supporting the management of grant processes.
- Knowledge of or experience in supporting event logistics and coordination.
- Residing in Belgium or willing to relocate, if needed
- B1 level in French
What We Offer:
- Service contract as a freelancer from June 1, 2,025, till May 31, 2026. The duration can be extended based on the performance.
- Compensation based on relevant experience, with a daily gross rate ranging from 110 to 130 Euros. A correction coefficient may apply depending on geographical location.
- The position is expected to be held five days a week, approximately 215 days per year.
